The Role **As our Operations & Administrative Assistant, you'll keep our Sintra location running smoothly. Working closely with the General Manager and Education Center Director, you'll support the Education and Hospitality teams across finance, hiring administration, contracts, logistics, and operational planning. This is a true generalist role — ideal for someone who thrives on variety and ambiguity. What You'll Do -Finance & HR admin: Process invoices and payments (Payhawk), maintain budgeting trackers, calculate team housing charges, and coordinate hiring administration with the accounting office and local authorities. -Contracts & documentation: Coordinate drafting and signing of vendor, landlord, and team-member agreements; maintain property and lease records; support real estate expansion. -Onboarding & team support: Handle administrative communication for new team members (housing, arrivals, materials) and help deliver a seamless onboarding experience. -Logistics & procurement: Order and track supplies, manage inventory and equipment, and support events, field trips, and extracurricular activities end-to-end. -General support: Assist with cohort turnover, cover for absences, and pitch in at community events — occasionally outside standard hours. About You -Fluent in English and Portuguese, based in Sintra -Experience in administration, finance support, or operations, ideally in a fast-growth startup -Familiarity with Portuguese legislation and administrative procedures is a strong plus -Adaptable, proactive, and a strong communicator who can problem-solve independently -Bonus: experience in hospitality, education, or real estate administration Why Join Us? Requisitos
Fluency in English & Portuguese. Must be based in Sintra. Your experience in administration, finance support, or operations in fast-growth startups. Basic understanding of Portuguese legislation and administrative procedures is a great plus. Your adaptability, flexibility, and ability to thrive in ambiguous environments. Your can-do attitude, you do what it takes to contribute to the success of the team You have strong communication and coordination skills. You can problem-solve independently while collaborating with different teams. Experience in hospitality, education, or real estate administration.
