Job Description



General Responsibilities:

In charge of all Immigration Related Matters, Passengers Embarkation documentation, Vessel Clearance, Passengers Departure and Arrival Manifests, Communication with port Agents in all Ships Hotel related Matters and ensuring proper communication flow as per Company Procedures.

  • Must be able to deal with crew and passengers in a professional manner
  • Must be a good organiser and communicator and feel comfortable working with crew of different nationalities.
  • Must be able to work under pressure and meet deadlines and work to established standards
  • Must have strong character with developed leadership skills
  • Must have pleasant disposition and friendly personality
  • Must have high degree of patience and understanding
  • Cabin Occupancy Control in conjunction with the Guest Service Manager.
  • Luggage: - Lost luggage: To assist the Guest Service Manager and Chief Housekeeper and Liaise with Agents and follow up with the Company’s communication Flow Chart. - Airline Lost Luggage: to coordinate with the Port Agent who will act on behalf of the Company in trying to track the luggage.
  • To be familiar with the ISM Manual and to assist any audits which are carried out in the Department on a regular basis by shoreside personnel.
  • To fully supervise and control the embarkation/disembarkation process of passengers: working in close coordination with the Hotel Director, the Guest Service Manager the Cruise Director, and the Security the procedures are carried out with the utmost precision and professionalism.
  • To coordinate with the Financial Controller in matters relating to the payment of passenger accounts.
  • Communicate Daily with Financial Controller, Guest Service Manager and Hotel Director once per cruise Departmental meeting
  • Deals with all passenger comments as quickly and professionally as possible.
  • Ensures that Hazardous situations are identified & reported in his department and dealt with Passengers’ Embarkation/disembarkation including Medical
  • Customs & Immigration, ports formalities
  • Departure/Arrival Manifests 
  • Vessel’s clearance
  • Passengers’ ID
  • Performs the end of cruise reports and analysis according to the preset scheme
  • Passengers accounting matters

 

Financial Responsibilities:

  • To ensure the cashbook, and safe content are 100% accurate and balanced at any time.
  • To be cost conscious with the use of materials and consumables.
  • To ensure that Company property is always maintained properly and treated with respect.


Qualifications



Education/Position Requirements:

  • Certified medically and physically fit.
  • Must have a good command of the English language, German is a plus
  • Must be knowledgeable in ISM / ISO, MLC and SQM Matters
  • Very Strong Administrative Skills are required
  • A strong Organisational background and experience in managing crew benefits and housing is essential
  • Minimum of seagoing experience for at least 1 year on board the vessels type or other adequate experience (unless decided different by the company)
  • Must have previously held position of Administration Purser, Accountant or Documentation Purser onboard a passenger cruise ship.
  • Minimum of two years of experience in an upscale hotel, resort, or cruise ship.
  • Superior customer service, interpersonal, conflict resolution and oral communication skills.
  • Ability to operate basic office equipment, including telephones, computers, and copy machines.
  • Working knowledge of computers, internet access, and the ability to navigate within a variety software packages such as Excel, Word, and PowerPoint.
  • Ability to perform basic math functions with regards to Customs and Immigration.
  • Experience in managing the Payroll is mandatory.

Team Communication and Meetings:

  • Check notice boards daily for relevant information. Attend all meetings and trainings.
  • To attend meeting with the Guest Service team on a regular basis.
